Acceptance and records
These public terms are an offer to create and use the relevant free Bee Guardian account. By actively ticking the acceptance checkbox and submitting registration, you accept this version. The checkbox is not preselected. We retain your account identifier, account type, acceptance time in UTC, chosen language, document version, complete document snapshot and SHA-256 hash. You may request a copy. The privacy notice explains personal-data processing. This acceptance is not a qualified digital signature and is not, by itself, a purchase or an equipment handover.
Account responsibilities
Provide accurate information and maintain the security of your login. The account holder must have legal capacity to enter this agreement; a person acting for an organisation must be authorised to represent it. Notify us of unauthorised access. Do not impersonate another person, interfere with the platform or use private hive feeds or records without permission. Children may explore educational material under adult supervision; an authorised adult must hold the contractual account.
Applications and activation
Beekeepers from all countries may apply. Registration creates a partner account and an application for review, not automatic approval or authority to represent Bee Guardian. Activation requires country-specific checks, a separately signed care and hosting agreement, an agreed commercial schedule, equipment handover and successful installation tests. Do not advertise your apiary as an approved Bee Guardian location before written approval. Before apiary approval, the applicant must provide the exact apiary address and coordinates, apiary photographs, applicant status as an individual or company, and the registration and veterinary documents required in the country where the apiary operates. The operator reviews this information before granting approval. Submitted registration and veterinary documents are restricted to the authorised Bee Guardian team and are not published or shared with customers. Exact apiary locations remain private on public pages and may be shown to the customer assigned to that apiary under their hive service. The operator requests harvest history for the last 2–3 seasons from the beekeeper, including the region, season, number of hives covered and marketable honey harvested in kilograms, together with supporting records. The beekeeper must identify any missing history rather than supply invented figures. Only factual data verified against the supplied records may be published, with the season and source clearly identified. Apiary totals must not be presented as the yield of one hive; any per-hive average must identify the hive count and calculation basis. Historical figures are not a guarantee of future yield. Where no verified history is available, no numerical harvest guide is displayed.
Company equipment — no deposit or rental fee
Cameras, scales, sensors, power and connectivity equipment are mandatory and remain the property of DESERT HORIZON TRADING - L.L.C - S.P.C (Bee Guardian). They are provided for temporary use under the agreement. The beekeeper pays no deposit, monthly rent or equipment connection fee. Record serial numbers, condition, installation and return duties at handover. No AED 1,800 is withheld from compensation.
Hive care and incident reporting
After activation, maintain the agreed hive and colony identifiers; perform inspections, feeding where needed, pest and disease management and cleaning under a documented local care plan and applicable veterinary rules. Keep accurate dated care records. Preserve necessary colony food reserves. Never substitute, transfer, move, merge or sell an allocated hive or colony without prior written approval, except urgent action necessary for welfare or legal compliance, which must be documented and reported without undue delay. Report colony loss, suspected disease, contamination, theft, equipment faults and camera outages promptly through the partner account and contact channel. The signed service plan must specify measurable inspection frequencies, escalation deadlines and response times before activation. During the active season, the beekeeper must inspect each allocated colony at least once every 7 days. During wintering, inspections follow the documented local care plan without a requirement to open the hive. Each inspection must be recorded in the partner account with its date, colony condition, work performed and observations. For critical sensor alerts delivered to the beekeeper, the beekeeper must acknowledge receipt within 2 hours and begin investigating the cause within 12 hours of delivery. Both deadlines run from delivery of the notification, not from acknowledgement. Where there is an immediate threat to the colony, action must be taken without delay. The acknowledgement, investigation and actions taken must be recorded in the partner account with their times. The 12-hour deadline concerns starting the investigation, not a guarantee that the incident will be resolved within that period. For camera or sensor faults, the beekeeper must check power, connectivity and equipment connections within 24 hours after receiving notification and record the findings and actions in the partner account. The operator must arrange repair or replacement within 7 calendar days after receiving the fault notification. If more time is needed, the operator informs the customer of the reason and the new repair or replacement date. These equipment deadlines do not replace the shorter critical-alert response deadlines or the duty to act without delay where a colony is in immediate danger.
Installation, camera privacy and access
Install, calibrate and operate the supplied equipment according to the approved installation plan. Do not disable, obscure, tamper with, sell or pledge it. Permit agreed maintenance access. Cameras must be aimed at the agreed hive areas; obtain necessary permissions and notices for workers and visitors, avoid unnecessary filming of people and do not publish private streams or access credentials. Exact locations and private feeds must not be exposed on public pages.
Harvest, packaging and unique QR codes
Keep harvest from each allocated hive identifiable and separated; mixing requires prior approval and full traceability. Do not replace it with honey from another source or alter records. Record hive and batch IDs, harvest start and end, extraction and packing times with time zone, accepted mass, jar count and net jar mass. Use approved food-safe packaging and labels compliant with destination law and Bee Guardian standards. Request unique jar QR codes in the partner account; print only approved issued codes, assign one code to each jar, do not duplicate or reuse codes, and do not dispatch an unapproved or recalled batch. Cooperate with sampling, audits and recalls. If honey substitution or falsification of traceability or care records is established by documented evidence, the operator terminates the partnership and blocks issuance of new QR codes for the affected batches. The beekeeper must cooperate in recalling the affected products and compensate the documented damage caused by the confirmed violation. No fixed contractual penalty is imposed for this violation under these terms. Termination does not remove the duties to preserve records, return company equipment and coordinate continued care and handover of customer hives. The service includes storage of the harvested honey with the beekeeper for 60 calendar days from the date the customer is notified that the honey is ready. The beekeeper must store it in suitable food-safe containers and conditions, preserving its hive and batch identification. Any storage beyond those 60 days requires separate agreement on duration and price. This included storage does not include honey packing for delivery or delivery charges, which remain separately agreed. Before dispatch, the operator provides the customer with a separate itemised quotation for containers, labels, packing, transport and any applicable import costs. Honey is dispatched only after the customer has expressly accepted the quotation and paid it. The beekeeper must obtain confirmation from the operator that acceptance and payment have been received before dispatching. Any additional charges require separate customer agreement before they are charged; no unapproved additional debit is permitted. For cross-border honey delivery, the operator checks whether import into the proposed destination is permitted and feasible before issuing the delivery quotation or accepting payment for delivery. The quotation must identify the importer and the documents required for the proposed shipment. If import is not possible, the operator does not accept payment for that delivery and proposes a permitted alternative, subject to separate agreement with the customer. An alternative destination or delivery arrangement is not substituted without customer agreement. Creating and saving label design previews is included at no additional charge. Label printing is priced separately in the packing quotation and requires acceptance and payment under the delivery terms. The hive owner must approve the final design before printing. Mandatory product information and the unique QR code issued by the operator must not be removed or substituted. A saved preview alone is not approval to print or dispatch.
Pilot and conditional care payments
The pilot starts with 10 hives per approved apiary. Additional hive purchases require a successful review and a separate agreement; expansion is not guaranteed. Compensation is up to AED 750 per allocated hive per service year: AED 375 at activation and a fixed AED 375 after the service year ends and all marketable honey from that hive is dispatched and accepted, only if its verified net weight is strictly greater than 3.5 kg (3,500 g). At 3.5 kg or less, including no harvest, the second payment is zero. Above the threshold it remains AED 375 regardless of quantity, not a per-kilogram payment. The threshold is assessed separately per hive and service year; do not pool or substitute honey from other hives. Preserve the food reserves needed by the bees. The entire actual marketable harvest belongs to the customer; this payment threshold does not guarantee the customer any minimum yield.
Termination and final settlement
On early termination, return all company equipment with a recorded condition check and dispatch all actual marketable honey from each allocated hive. Final settlement follows equipment return and verification of the harvest. The second payment is AED 375 per hive only when that hive has supplied strictly more than 3.5 kg in the current service year; at 3.5 kg or less it is zero. The qualifying payment is not prorated by months or kilograms and is paid only once for that service year. There is no equipment deposit to refund, no withheld AED 1,800 and no AED 2,550 entitlement. Coordinate continuing care and handover of customer-owned hives; termination does not transfer them to the beekeeper. Previously accepted agreements are not rewritten retrospectively. A beekeeper wishing to leave the partnership must give the operator at least 90 calendar days of written notice. The beekeeper must continue the agreed care until the agreed handover of the allocated hives. The operator arranges a replacement beekeeper or relocation and coordinates the handover. In urgent circumstances, a different notice period may be agreed in writing. This notice requirement does not change the agreed equipment-return and final-settlement conditions or transfer ownership of customer hives to the beekeeper.
Colony loss and responsibility
If a colony is lost because of a proven breach of the agreed care duties, the beekeeper bears the replacement costs. In other cases, the operator bears replacement costs from its reserve. Report incidents promptly and preserve care and sensor records; responsibility must be established from documented evidence. This allocation does not restrict mandatory customer rights. The operator will arrange replacement within 60 calendar days of receiving notice of the colony loss. Any extension, including for seasonal reasons, requires express agreement from the customer. Before hive activation, the value of the bee colony must be separately stated in the hive record or transfer act as a component of the AED 2,000 hive-and-colony price, and agreed with the customer. It is not an additional charge. If replacement is impossible within the agreed period, the operator compensates the documented colony value rather than the entire hive price. The hive body remains with the customer; this compensation does not transfer it back to the operator. Refunds for unprovided care are calculated separately under the applicable care refund terms. Mandatory customer rights remain unaffected. The beekeeper must cooperate with replacement and preserve relevant evidence; allocation of costs remains as stated above.
Suspension and changes
We may restrict account access where reasonably necessary to protect security, prevent fraud or respond to a material breach. Where practicable we will explain the reason and allow correction. Restriction does not extinguish ownership, accrued payment obligations or lawful refund rights. Material changes to these terms require a new version and fresh acceptance for the affected new obligations; we will not retrospectively rewrite your stored acceptance.
Applicable law and mandatory rights
These account terms are governed by applicable UAE law. Mandatory consumer, privacy, food-safety and local operating rules remain applicable; nothing here excludes a right or liability that cannot lawfully be excluded. A separate order or partnership agreement must specify the competent dispute forum consistently with mandatory law. Contact us first to seek a resolution, without restricting your right to approach a competent authority or court. English and Arabic versions are published together; any discrepancy must be resolved consistently with applicable law and mandatory Arabic-language requirements.
Customers introduced by Bee Guardian and non-circumvention
During the partnership and for 12 months after it ends, the beekeeper must not solicit customers introduced by Bee Guardian to move their business away from the platform, or enter into direct transactions with those customers for Bee Guardian programme hives, hive care or honey in circumvention of the operator. This restriction concerns customers introduced through Bee Guardian; it does not apply to the independent customers of the beekeeper who were not introduced by Bee Guardian. Ordinary communication with customers, including care updates and service coordination, is permitted.
Apiary visits
Customers may visit the apiary only by prior arrangement with the beekeeper. Visits must be accompanied by the beekeeper or a designated guide, and visitors must wear protective clothing and follow the safety instructions. The beekeeper may postpone a visit because of weather, quarantine restrictions or a safety risk. Hive ownership or account access does not provide unrestricted or unannounced access to the apiary. Before customer visits are permitted, the beekeeper must provide the operator with a valid apiary liability insurance policy covering visits and liability towards visitors and third parties. The policy must remain valid for the visit. Customer visits must not take place without the required valid cover, including where a policy has expired or been cancelled. Mandatory local insurance requirements continue to apply regardless of whether customer visits are offered.
Apiary audits and honey testing
The operator may remotely review records relating to Bee Guardian hives, care, equipment and harvest, and conduct apiary visits by prior arrangement. Where there are reasonable grounds to suspect a breach, the operator may conduct an unannounced inspection, subject to applicable local access rules. The beekeeper must cooperate with these checks and relevant honey sampling and testing. The operator pays for routine laboratory tests. If laboratory testing confirms a breach by the beekeeper, the beekeeper must reimburse the documented costs of that inspection and testing. Suspicion alone does not establish a reimbursement obligation.
Apiary photographs and videos for promotion
The beekeeper permits the operator to use apiary photographs and videos supplied by the beekeeper on the Bee Guardian website, in social media and in presentations for promotional purposes, without a separate fee. The operator may crop and edit these materials without distorting their meaning. This permission does not transfer ownership of the materials and applies only to rights the beekeeper is entitled to grant. Publishing identifiable people, the name of the beekeeper or precise apiary coordinates requires separate consent from the relevant person or rights holder. Private customer camera streams do not automatically become public or available for promotional use under this permission.
Confidentiality and customer data
The beekeeper must use customer data received through Bee Guardian only to perform the agreed services for Bee Guardian hives. The beekeeper must not disclose this data to unauthorised third parties or use it for their own advertising or marketing. Non-public commercial terms and access credentials must also be kept confidential. These confidentiality obligations continue after the partnership ends. Disclosure required by applicable law is permitted only to the extent required by that law.
Allocated hive ownership and transfer records
For each hive and colony acquired by DESERT HORIZON TRADING - L.L.C - S.P.C and allocated to the Bee Guardian programme, the beekeeper must acknowledge in writing that the company owns it until its documented transfer to the customer, and that the customer owns it after that transfer. Each allocated hive must be marked with its unique hive number. The beekeeper must not sell or pledge it, or use it as security for their own debts. Transfer to the customer is documented in a separate transfer act identifying the hive and colony, after full payment, connection and completion of the transfer documents. These terms do not by themselves transfer an independently owned hive to the company; acquisition must be documented. Cameras, scales, sensors and communication equipment remain company property and are not included in the transfer of the hive.
